Payroll Specialist 


The Payroll Specialist is responsible for payroll processing for the North American region. This position also supports compensation analysis and ad hoc accounting tasks including reporting, audits, and compliance. This position requires a high level of confidentiality, integrity, and discretion and proactively takes initiative and seeks opportunities for process improvement.

Location: Chicago, IL or Hybrid

Essential Duties and Responsibilities:

  • Lead and facilitate payroll processing including salary, bonus, and commissions.
  • Manage workflow to ensure all payroll-related transactions are processed timely and accurately.
  • Prepare and audit all payroll data for periodic processing to include new hires, terminations, salary changes, transfers, benefits deductions, and other payroll-related items 
  • Incorporate a variety of deductions into a periodic payroll and issue pay and pay-related information to employees.
  • Responsible for generating compliance reporting/notices and fillings (e.g., W-2s, 1099-s, federal and state payroll unemployment, and workman’s compensation insurance).
  • Assist with Workers’ Compensation and unemployment insurance administration.
  • Assist in audit requests (401k/benefits audit).
  • Assist with Ad hoc reporting.
  • Respond to confidential questions from employees regarding paychecks, direct deposition, benefits deduction, and other payroll related topics.
  • Update payroll record by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles and division transfers.
  • Track PTO utilization; calculate and report on remaining balances available for accruals.



  • Bachelor’s or equivalent college degree in Business Administration, Accounting, Finance, or related field.
  • Minimum 7 years of experience with payroll processing.
  • Minimum 2 years of experience with the ADP payroll system.
  • Experience with Multistate payroll processing and tax registration for multi-legal entities.
  • Working knowledge of Federal and Multistate compensation and benefits laws.
  • Proficient in Excel – ability to manipulate data, use formulas, and build pivot tables 
  • Strong communication and problem-solving skills and work under strict deadlines.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Benefits administration is a plus.
