Sales Service Representative 

 

Location: Chicago Office or Remote, North America (US & Canada) - To support effective team collaboration and meet the role's demands, we are seeking candidates who are located in or can align their working hours with the Eastern Standard Time (EST) zone.

About the role: 

A Sales Service Representative plays a crucial role in supporting the sales team and ensuring the efficient and smooth operation of sales-related activities within an organization. This role involves administrative tasks, data management, and customer interaction to facilitate successful sales processes. The Sales Service Representative is responsible for maintaining accurate records, assisting in sales planning, and providing exceptional customer service.

Core duties and responsibilities include (but are not limited to) the following: 

  • Customer Interaction: 
    • Responsible for communicating effectively and professionally with customers in a timely manner including answering customer enquiries, clarifying commercial problems or concerns and providing information about contracts, invoices and transactions (not products or services). 
    • Primary point of contact for customers regarding commercial issues. This may involve pricing, contract terms, invoices, or renewals. You should be able to competently answer customer queries in these areas and, if necessary, work with other departments to find solutions. 
    • Build and maintain a strong, positive, and honest bond with customers. Starting after the first contract, collecting customer information and purchase orders. 
  • Sales Support: 
    • Assist the sales team with administrative tasks, including order processing (PO + CIF collection), contract management, and invoice generation. 
  • Data Management: 
    • Maintain and update the customer database with accurate and current information (not enter initial data). 
  • Licenses Agreements: 
    • Track transactions and communicate updates to customers if needed. 
    • Identify customers who have exceed their agreed licenses 
  • Sales Documentation: 
    • Prepare (in case of renewals) and maintain sales contracts, agreements, and other legal documents. 
    • Ensure that all sales-related documentation is complete, accurate, and compliant with company policies and regulations. 
  • Sales Reporting: 
    • Provide sales managers with insights and recommendations potential cross-/upsell 
  • Other duties as assigned.  

 

What makes you excel in this position: 

The requirements listed below are representative of the knowledge, skill, and/or ability required: 

  • Bachelor's degree in business administration or related field (preferred). 
  • 3+ years of experience in sales administration or similar roles 
  • Strong organizational and time management skills. 
  • Excellent communication and interpersonal skills. 
  • Proficiency in using office software and CRM systems. 
  • Attention to detail and accuracy in data entry and record-keeping. 
  • Ability to work independently and as part of a team. 
  • Customer-focused attitude and problem-solving skills. 
  • Knowledge of sales processes, and best practices is a plus. 

 

Salary Range 

United States: USD 48,000-50,000

Canada: CAD 56,000-72,000

 

The above annual base salary range represents a general guideline for the low and high ends of the pay range for this position. However, the actual salary offered will be determined on various factors, including but not limited to location, job-related skills, experience, relevant education, training, as well as market and business considerations.
